The Document Properties window provides an overview of a document's metadata and allows you to view and adjust certain document-specific settings.
Open Document Properties
You can open the Document Properties dialog in the following ways:
- Via the documents window: Right-click a document in the documents window and select
Properties. - Via document variables: Go to Variables > Data Editor for Document Variables, right-click the document, and select
Properties.
After reviewing or changing the document properties, click Save to apply your changes or Cancel to close the window without saving.
The window contains some or all of the following sections, depending on the document type:
General
This section provides an overview of the document's basic properties and metadata:
- Name: Displays the document name. You can edit this field to rename the document directly.
- Location: Shows the document's position in the document hierarchy, including its document group and subgroup.
- Text statistics: Displays the number of paragraphs, words, and characters in the document. These values update automatically when the document content changes.
- Created: Indicates the date and time the document was created, as well as the user who created it.
- Modified: Shows the most recent modification date and the user who last edited the document.
- Size: Displays the file size of the document.
- Read-only: When enabled, the document content can no longer be edited. This is useful for protecting finalized transcripts, protocols, or reference documents from accidental changes.
Media File
This section lets you link an audio or video file to the document and view its location, size, and duration. If the file is moved or renamed outside of MAXQDA, the link may need to be updated.
- No media file linked: If no media file is linked yet, this section displays a placeholder area where you can drag and drop an audio or video file, or click the add button to select a file from your computer.
- Linked media file: Once a file is linked, this section displays detailed information about the audio or video file. Media files are not stored inside the MAXQDA project. They are referenced from their location on your computer and are considered External Files.
- File: Shows the name of the linked media file.
- Folder: Indicates the file path where the media file is stored.
- Size: Displays the file size of the media file.
- Duration: Shows the total length of the audio or video file.
External links
This section allows you to connect the document to resources outside of the MAXQDA project.
- Web link: Add a link to a website, for example, an online article, project documentation, or contextual information relevant to the document.
- File from computer: Link to an external file stored on your computer, such as a PDF, image, spreadsheet, or additional transcript.
- Geolink: Create a link to a geographic location, for example, the place where an interview was conducted.
External links make it easy to access related materials directly from within MAXQDA without importing them into the project.
Storage
This section is available for PDF and image documents. It controls whether the file is embedded in the MAXQDA project or stored in the external files folder.
- In project: The file is embedded directly in the project file.
- In folder for external files: The file is stored outside the project and referenced by MAXQDA. Use Show Folder for External Files to open the external files folder in your file browser.
If an externally stored image or PDF file is moved or renamed outside of MAXQDA, MAXQDA will indicate that the file could not be found. You can then drag and drop the new file into the provided area, or click to browse for it, to restore the link.
