Edit Text Documents and Tables

When opened in the Document Browser, text documents and tables are in View Mode icon View Mode by default to prevent unintentional changes during analysis. Switch to Edit Mode icon Edit Mode using the mode switcher in the Document Browser toolbar to modify the content, for example, to correct a typo or create new text.

You can also switch to Edit Mode with the Ctrl+E (Windows) or ⌘+⌥+E (macOS) keyboard shortcuts.

For text documents, standard text formatting options such as font size and style are available in Edit Mode. When Edit Mode is active, a formatting toolbar appears below the coding toolbar.

For table documents, you can edit the content of cells, but not the visual appearance of the text. To insert a new paragraph within a table cell, hold Alt (Windows) or Option ⌥ (macOS) and press Return.

PDFs, images, audio, and video files cannot be edited in MAXQDA.

Saving text edits

Changes made in Edit Mode are saved to the MAXQDA project file when Edit Mode is closed. Your edits are also saved automatically every five minutes while you work. You can adjust this interval in General Preferences.

Undoing text changes

You can undo changes made in Edit Mode the same way as in any word processor. Right-click in the Document Browser and select Undo Text Changes, or click the Undo icon Undo icon in the toolbar.

Select Undo All Text Changes to revert all edits made since you last activated Edit Mode in a single step.

Deleting text permanently removes all code assignments that are fully contained within the deleted text. These assignments cannot be restored using the undo function.

Spellchecking

When spellchecking is enabled, MAXQDA underlines unrecognized words in editable text documents and memos. Right-click an underlined word to see suggestions, replace all occurrences, add the word to your personal dictionary, or ignore it. Editing the custom dictionary

Words you add via Add to Dictionary are stored locally in a file named "(language)_UserDictionary.txt", which you can open and edit in any text editor to add or remove entries.

  • Windows: Press Windows key + R and enter "%appdata%\MAXQDA".
  • macOS: Go to "Users/(USERNAME)/Library/Preferences/MAXQDA".
